Refunds & cancellations

This policy applies to professional consulting engagements with Grid Harbor (Pty) Ltd. It does not cover goods or subscriptions—we do not sell software licences through this Site.

Deposits

A 40% deposit reserves consultant time and is invoiced before work begins. Deposits are non-refundable once we have started discovery activities (kickoff call, repository access, or draft outline), except where we cancel the engagement.

Client cancellation before start

If you cancel in writing at least 14 calendar days before the agreed start date and we have not begun discovery, we refund the deposit minus a ZAR 2,500 administration fee. Cancellations within 14 days forfeit the deposit unless we can reallocate the slot.

Rescheduling

One free reschedule is permitted if requested at least 10 business days before start. Further moves may incur a ZAR 5,000 replanning fee. Workshop dates may be rescheduled once without fee if attendance remains at least five people.

During an engagement

If you terminate after work has started, you owe fees for days already delivered plus non-recoverable costs (e.g. booked travel). We deliver partial reports for completed phases when payment is current.

Our cancellation

If we must cancel (illness, conflict of interest discovered late), we refund unused prepaid amounts within 14 business days or offer substitute dates.

Deliverable disputes

If you believe deliverables materially miss the signed scope, notify us within 10 business days of delivery. We will correct factual errors at no charge or provide a partial credit if remediation is not possible—refunds are not automatic for subjective disagreement with recommendations.

Full refund eligibility

Full refunds of amounts paid (including deposit) occur only when: (a) we cancel before delivery, (b) you cancel under the 14-day pre-start rule above, or (c) required by applicable South African consumer law for the transaction type.

Non-refundable items

• Completed consulting days and workshops already delivered
• Third-party travel or venue costs already incurred on your behalf
• Rush fees agreed in writing for compressed timelines

No-shows

Missed scope calls without 24 hours’ notice count as used time for prepaid retainers. Workshop no-shows below minimum attendance may forfeit the day fee.

Processing

Approved refunds are processed to the original payment method within 14 business days. Bank charges may be deducted where permitted by law.

How to request

Email info@gridharbor.digital with invoice number, engagement name, and reason. We acknowledge within 3 business days.
